toDubai vs a general CRM for a UAE business setup company
Zoho, Bitrix24 and HubSpot are good products. The question is how much building you want to do.
A general CRM is cheaper to start, bends to almost any process and connects to almost everything. toDubai does a narrower job, the specific work of a UAE licensing company, and has the free-zone workflows, finance approvals, partner rate cards and client app ready on day one.
Where a general CRM wins
- It costs less to start. Zoho CRM has a free edition for up to three users, Bitrix24 has a free plan with unlimited users, and HubSpot has a free CRM. toDubai has no free tier and no self-serve trial.
- It fits any process. If your operation does not look like a standard RAKEZ, Ajman Free Zone or ANC application, a CRM you configure yourself will bend further. toDubai has no workflow builder.
- It connects to more. All three have app marketplaces and public APIs. toDubai has a short list of built-in integrations and no public API.
- It does marketing. Email campaigns and marketing automation are a big part of what these products sell. toDubai does not try to be a marketing tool.
Where toDubai wins
- The free-zone work is already built. RAKEZ, Ajman Free Zone and ANC applications run as step-by-step workflows with an owner at each step, and a file cannot move past the payment stages until finance has approved them. In a general CRM, you or an integrator build that, and rebuild it when an authority changes its process.
- Your clients get their own view. An iOS and Android app with progress, the documents you are waiting on and a service catalogue, plus a no-login tracker for clients who never install anything. A general CRM is built around your team; a client-facing view of a license application is something you would have to put together on top.
- Partner agencies are handled properly. A negotiated rate card per agency, an agreement PDF generated when they sign up, a portal that only shows each agency its own clients, and a duplicate-company check on the partner pipeline.
- Money sits on the application. Payments and expenses wait for finance approval, invoices priced 30% or more below list are blocked, and profit per license is a report rather than a spreadsheet exercise.
- WhatsApp arrives as leads. Messages come in through the WhatsApp Business API and go to an agent who is online. On Bitrix24, WhatsApp is on the paid plans; HubSpot’s own WhatsApp integration is on the Professional and Enterprise tiers of Marketing Hub and Service Hub, with third-party apps for the lower ones.
The short version
| General CRM | toDubai | |
|---|---|---|
| Cost to start | Free tiers, then paid per user | Quoted in AED by seats and volume; no free tier |
| RAKEZ, AFZ and ANC application workflows | Built by you or an integrator | Built in and maintained by us |
| Changing the process yourself | Configure almost anything | No builder; we change it |
| Client view of an application | Not built for license applications | iOS and Android app, and a no-login tracker |
| Partner agencies and rate cards | Custom setup | Rate cards, agreement PDFs, scoped partner portal |
| WhatsApp leads | Available, often on paid plans or through third-party apps | Built in, with assignment to an agent who is online |
| Integrations and API | App marketplaces and public APIs | A fixed built-in list, no public API |
| Marketing campaigns | Yes | No |
Plan details for Zoho, Bitrix24 and HubSpot are taken from their own websites in September 2026. They change often, so check the current versions before you decide.
If most of your work is RAKEZ, Ajman Free Zone or ANC applications, and you would rather not pay someone to build those processes inside a CRM and then keep them current, toDubai is the shorter path.
If your volume is mostly mainland or other free zones, if your team needs an Arabic interface (toDubai is English only), or if you want one system for marketing as well as operations, a general CRM will probably suit you better. We would rather tell you that now than after a demo.
